Basics of using Ramco Enterprise series web page

The “Vehicle Details” page appears.

  - Clicking this icon available near certain fields takes you to the help page of the respective field.

To create a new vehicle

Vehicle ID                  

The unique code or identification number of the vehicle. (Alphanumeric, 18). Mandatory.

Vehicle Description

The name of the vehicle associated with the vehicle ID. (Alphanumeric, 255).

Status

Use the drop-down list box to specify the status of the vehicle. The combo is loaded with the values as “Active” or “Inactive”. The system displays “Active” by default on the launch of the page. Mandatory.

Reason Code

The code identifying the reason for which the status has to be changed. (Alphanumeric, 40). This field is mandatory if the status is “Inactive”.

Reason Description

On enter of reason code, the system displays the description of the reason.

Vehicle Category

Use the drop-down list box to select the category to which the vehicle belongs. The combo is loaded with the values as defined in “Quick Codes” activity. The system displays “Blank” by default on the launch of the page. Mandatory.

VIN

The Vehicle Identification Number (VIN). (Alphanumeric, 40). Mandatory.

Vehicle Model

The model of the vehicle. (Alphanumeric, 40).

Vehicle Type

Use the drop-down list box to select the type of vehicle. The combo is loaded with the values as defined in “Quick Codes” activity. The system displays “Blank” by default on the launch of the page.

Rigid

Select the checkbox to enable rigid for the vehicle ID.

Note: You can also create a vehicle ID if the status of the vehicle is “Inactive” specifying the Reason Code.

Tab – General

Owner Type

Use the drop-down list box to select the owner type of the vehicle. The combo is loaded with the values “from Quick codes. Viz. Own, contracted etc. (Alphanumeric, 20). Mandatory

Ownership Effective From

The date from which the ownership is effective for the vehicle.

Agency ID

The code identifying the agency which contracted or rented the vehicle. (Alphanumeric, 16).  This field is mandatory if the Owner type is “Contracted”, Hired, and Leased apart from Owned.

Agency Name

On enter of Agency ID, the system displays the name of the agency. (Alphanumeric, 40).

Agency Contract Number

The contract number of the agency. (Alphanumeric, 16). This field is mandatory if the Agency ID is provided.

Owner Type

The ownership type which is associated to the Vehicle ID.

Agency ID

The code identifying the agency ID.

Agency Name

The code identifying the agency which contracted/rented the equipment.

Agency Contract No.

The contract number of the agency.

From

The date from which the ownership is valid.

To

The date till which the ownership is valid.

Note: Agency ID, Agency Name and Agency Contract Number fields are visible for all Owner types apart from ‘Own’.

Built Date

The date on which the vehicle is manufactured. (Date Format).

Purchase Date

The date on which the vehicle is purchased. (Date Format).

Inducted Date

The date on which the vehicle is installed or received. (Date Format).

Note: The system throws an error message if the inducted date is before the purchase date.

Ref. Doc. No.

The reference document number of the vehicle (User Defined). (Alphanumeric, 40).

Asset ID

The code identifying the asset to be mapped to the vehicle. (Alphanumeric, 16). 

Asset Tag

The code identifying the asset tag associated to the asset ID. (Alphanumeric, 16). 

UOM

Use the drop-down list box to select the unit of measurement of mileage. The combo is loaded with the values as defined in in “UOM Masters mapped to the entity Mileage. The system displays “Blank” by default on the launch of the page. Mandatory.

No Load

The fuel consumption when the vehicle is without any load. (Alphanumeric, 28).

Full Load

The fuel consumption when the vehicle is fully loaded. (Alphanumeric, 28).

Average

The average fuel consumption of the vehicle. (Alphanumeric, 28).

UOM

Use the drop-down list box to select the unit of measurement of average speed. The combo is loaded with the values as defined in in “UOM Masters mapped to the entity Average speed. The system displays “Blank” by default on the launch of the page. Mandatory.

No Load

The average speed when the vehicle is without any load.

Coupled

The average speed when the vehicle is coupled with other.

Coupled and Loaded

The average speed when the vehicle is coupled with other and loaded.

No. of Axles

The number of axles on which the wheel rotates. (Alphanumeric, 40).

Axle Configuration

Use the drop-down list box to select the axle configuration. The combo is loaded with “Single Crown Movers”, “Double Crown Movers” and “Single Movers”.

Vehicle Make

Use the drop-down list box to select the vehicle make. The combo is loaded with the values as defined in “Quick Codes” activity.

Chassis No.

The chassis number of the vehicle. (Alphanumeric, 40).

Engine No.

The engine number of the vehicle. (Alphanumeric, 40).

GPS Device Type

Use the drop-down list box to select the GPS device type. The combo is loaded with the values as defined in “Quick Codes” activity.

GPS Ref. Num.

The GPS reference number of the vehicle. (Alphanumeric, 40). This field is mandatory if the GPS Device Type is selected.

Transmission Type

Use the drop-down list box to specify the transmission type of the vehicle. The combo is loaded with the values as defined in “Quick Codes” activity.

Fuel Used

Use the drop-down list box to specify the fuel used in the vehicle. The combo is loaded with the values as defined in “Quick Codes” activity.

Steering Type

The steering type of the vehicle like Manual, Power, etc. (Alphanumeric, 40).

Colour

The colour of the vehicle namely Red, Green, Black, etc. (Alphanumeric, 40).

Use of Hazardous Goods

Select the checkbox to specify whether the hazardous goods can be carried in the vehicle.

Raise Internal Draft Bill

Select the checkbox to raise internal draft bill for the goods carried in the vehicle.

Tab – Geo Info

Geo Type

Use the drop-down list box to select the geo type. The combo is loaded with the values “Division” and “Location”. The system displays “Blank” by default on the launch of the page. Mandatory.

 GEO ID

The code identifying the Geo ID. This field is mandatory if the Geo Type is selected.

Description

The description of division or location. On enter of Division/ Location the system displays the description.

Attached?

Select the checkbox to attach the vehicle with a location which is a base location.

Note: You cannot attach the vehicle to a division. You can attach only one location to vehicle for the given period. You can attach another location once the "valid to" of the previous attached location is expired.

Valid From

The date from which the vehicle attached to the base location is valid. (Date format).

Valid To

The date till which the vehicle attached to the base location is valid. (Date Format).

Note: Ensure that the entered value must be after valid from date.

Home Geo Type

Use the drop-down list box to select the home geo type. The combo is loaded with “Division”, “Location” and “Ship Point”.

Home Geo ID

The code identifying the home Geo ID. Use help icon or manual entry.

Current Geo Type

Use the drop-down list box to select the current geo type. The combo is loaded with “Division”, “Location” and “Ship Point”.

Current Geo ID

The code identifying the current Geo ID. Use help icon or manual entry.

In Transit

Select the checkbox to specify that the vehicle is in transit state.

The system retrieves and displays the route ID, between and information.

Tab – Weights & Dimensions

UOM

Use the drop-down list box to select the unit of measurement of overall dimensions. The combo is loaded with the values as defined in “UOM Masters mapped to the entity Overall Dimensions. The system displays “Blank” by default on the launch of the page. Mandatory.

Length

The overall length of the vehicle. (Alphanumeric, 28). Mandatory.

Width

The overall width of the vehicle. (Alphanumeric, 28). Mandatory.

Height

The overall height of the vehicle. (Alphanumeric, 28). Mandatory.

UOM

Use the drop-down list box to select the unit of measurement of internal dimensions. The combo is loaded with the values as defined in “UOM Masters mapped to the entity Internal Dimensions. The system displays “Blank” by default on the launch of the page. Mandatory.

Length

The internal length of the vehicle. (Alphanumeric, 28). Mandatory.

Width

The width length of the vehicle. (Alphanumeric, 28). Mandatory.

Height

The height length of the vehicle. (Alphanumeric, 28). Mandatory.

Engine Capacity

The engine capacity of the vehicle. (Alphanumeric, 28).

Tank Capacity

The tank capacity of the vehicle. (Alphanumeric, 28).

Seating Capacity

The seating capacity of the vehicle. (Alphanumeric, 10).

UOM

Use the drop-down list box to select the unit of measurement of weight. The combo is loaded with the values as defined in “UOM Masters mapped to the entity Weight. The system displays “Blank” by default on the launch of the page. Mandatory.

Tare Weight

The tare weight of the vehicle. (Alphanumeric, 28). Mandatory.

Gross Vehicle Mass

The gross mass weight of the vehicle. (Alphanumeric, 28). Mandatory.

Manufacturer’s GCM

The manufacturer’s gross combination mass weight of the vehicle. (Alphanumeric, 28). Mandatory.

UOM

Use the drop-down list box to select the unit of measurement of volume. The combo is loaded with the values as defined in “UOM Masters mapped to the entity Volume. The system displays “Blank” by default on the launch of the page. Mandatory.

Overall Volume

The overall volume of the vehicle is keyed or auto calculated. (Alphanumeric, 28). Mandatory.

Internal Volume

The internal volume of the vehicle is keyed or auto calculated. (Alphanumeric, 28). Mandatory.

UOM

Use the drop-down list box to select the unit of measurement of temperature. The combo is loaded with the values as defined in “UOM Masters mapped to the entity Temperature. The system displays “Blank” by default on the launch of the page.

Refrigerated

Select the checkbox to refrigerate the vehicle at certain temperature.

Minimum

The maximum temperature to be set. (Numeric, 28). This field is mandatory if the Refrigerated is checked.

Maximum

The minimum temperature to be set. (Numeric, 28). This field is mandatory if the Refrigerated is checked.

Tab – Unavailability

Maintenance location

The location where the vehicle is maintained.

Category

Use the drop-down list box to select the category. The combo is loaded with “Maintenance”, “Suspension” and “Other”. The system displays “Maintenance” by default on the launch of the page.

From

The date from which the vehicle is maintained. (Date Format).

To

The date till which the vehicle is maintained. (Date Format).

Note: To Date must be greater than the From Date.

Description

The description of the vehicle maintenance details. (Alphanumeric, 100).

Tab – THU Capacity Mapping

Pallet Space

The number of pallet space available in the THU.

THU

The code identifying the transport handling unit to be mapped to the vehicle. (Alphanumeric, 40).

THU Description

The description of the transport handling unit. (Alphanumeric, 255).

Quantity

The number quantity of the transport handling unit. (Alphanumeric, 255). This field is mandatory if the THU is entered.

Quantity UOM

 The unit of measurement for the quantity. This field is mandatory if the quantity is entered.

Tab – Movement History

Ø  Enter the following details:

Arrived Date From

The arrival date from which the vehicle is being searched.

Arrived Date To

The arrival date till which the vehicle is being searched.

Departed Date From

The departure date from which the vehicle is being searched.

Departed Date To

The date till which the vehicle is being searched.

From Date

The date from which the movement history to be displayed in the multiline.

To Date

The date till which the movement history to be displayed in the multiline.

From GPS, the system retrieves and displays the following in the multiline:

Latitude

The latitude of the vehicle based on movement.

Longitude

The longitude of the vehicle based on movement.

Geo Type

The geo type which is mapped to the vehicle.

Geo ID

The code identifying the geo ID, which is mapped to the vehicle.

Geo Description

The description of the geo ID.

 

 

Trip Plan ID

The ID associated with the trip plan that used the vehicle.

Arrived

The date on which the equipment arrived at the given location.

Departed

The date in which the equipment departed from the given location.

Tab – Registration Details

Doc. Type

Use the drop-down list box to select the type of registration document. The combo is loaded with the values “General License” and “Common License”.

Doc. No.

The registration document number of the vehicle. (Alphanumeric, 40). Mandatory.

Address

The address where the vehicle is registered. (Alphanumeric, 255).

Title Holder Name

The name of the person on whom the vehicle is registered. (Alphanumeric, 40). Mandatory.

Issuing Authority

Use the drop-down list box to select the company who issued the registration. The combo is loaded with the values as defined in “Quick Codes” activity. Mandatory.

Issuing Location

The location where the vehicle was issued. 

Issued Date

The date on which the vehicle was registered. (Date Format). Mandatory.         

Expiration Date

The date on which the vehicle registration expire’s. (Date Format). Mandatory.

Remarks

Any remarks regarding the registration of the vehicle.

Attachment

Attach any document (If required).

Tab – Equipment Mapping

Equipment ID

The equipment ID attached to the vehicle. (Alphanumeric, 40).

Equipment Description

On enter of equipment ID the system displays the description of the equipment (Alphanumeric, 255).

Mapping Type

Use the drop-down list box to select the mapping type of the vehicle. The combo is loaded with the following values:

  • Exclusive – If this option is selected, the equipment ID is mapped only to the vehicle.

  • Shared – If this option is selected, the equipment ID is shared to one or more vehicles.

Default

Select the checkbox to default the equipment ID to the vehicle.

Note: You can default the equipment If the mapping type is shared. You can default one of the shared equipment if there is multiple equipment mapped against a vehicle. You cannot default a vehicle if it is already defaulted to another vehicle.

Tab – Employee Mapping

Employee ID

The employee ID attached to the vehicle. (Alphanumeric, 18).

Equipment Description

On enter of equipment ID the system displays the description of the employee (Alphanumeric, 255).

Mapping Type

Use the drop-down list box to select the mapping type of the vehicle. The combo is loaded with the following values:

  • Exclusive – If this option is selected, the employee ID is mapped only to the vehicle.

  • Shared – If this option is selected, the employee ID is shared to one or more vehicles.

Default

Select the checkbox to default the employee ID to the vehicle.

Note: You can default the employee If the mapping type is shared. You can default one of the shared employees if there are multiple employees mapped against a vehicle. You cannot default a vehicle if it is already defaulted to another vehicle.

Tab – Vehicle Capacity

GCM Set ID

The code identifying the GCM set ID.

Description

The description of the GCM set ID.

No. of Equipment

The number of equipment that can be carried by the vehicle.

Tab – Attribute

Attribute Type

Use the drop-down list box to select the attribute type. The combo is loaded with “10 Hours Billing”, “5 Hours Billing”, “Billing Methodology”, “Email”, “Mile Definition”, “Preferred”, “Region”, “Template Route” and Vertical”.

Attribute Applicability

Use the drop-down list box to select the attribute applicability. The combo is loaded with “Alert”, “Execution”, “Financial Dimension”, “Planning” and “Report”.

Attribute Value

Enter the attribute value.

Tab – DG Class

   

DG Class

Use the drop-down list box to select the DG class.

Ref. Document

Use the drop-down list box to select the reference document number which is associated to the DG Class.

Ref. Document Type

The reference document type which is associated to the DG Class.

Valid From

The date from which the DG class goods are valid.

Valid To

The date till which the DG class goods are valid.

The system saves the Vehicle ID successfully and the status is updated as “Active”.

The system displays the following:

Created By

The login ID of the user who created along with the date and time at which the vehicle details was created.

Modified By

The login ID of the user who modified along with the date and time at which the vehicle details was last modified.

To modify existing vehicle details

The following details are displayed in the multiline:

Vehicle ID

The unique code that identifies the vehicle. (Alphanumeric, 18).

Description

The description of the vehicle.

The system displays the corresponding vehicle details in the right-hand side header and tabs. You can modify the required fields.
